Terms for Events

These terms apply in addition to the central terms of use and privacy notices as soon as you book an event through the portal. We answer common questions in our FAQ.

Part A – Contractual Terms

A.0 Contracting party for events

The operator of the portal and the sole contracting party — including for ticket purchases — is Seibert Group GmbH. For individual events (e.g. Tools4AITeams (T4AT)), Kegon AG participates in the content and organizational delivery of the event as an affiliated company and processor acting on behalf of Seibert Group; we remain the sole contracting party for your ticket purchase.

A.1 Ticket purchase and ticket types

(1) For paid events, the prices stated during the booking process apply. Prices are exclusive of statutory VAT unless stated otherwise. You purchase tickets through our application, Invite (invite.seibert.group), which is linked directly from the respective event website. Booking requires your customer portal account; we do not offer guest checkout. Payment is made via the payment methods offered during the booking process, and invoices are issued electronically. For details on the data processing involved in the ticket purchase, see B.6.

(2) Our events are part of our marketing activities and are subsidized by us. For paid events, you choose between two ticket types during the booking process:

  • Community ticket (discounted or free): part of this rate is your consent to us linking your activity on our websites to your identity for personalization and marketing purposes. For paid events, this use of your data is the consideration for the subsidy; for free events, the consideration for your attendance.
  • Regular (full-price) ticket: at the unsubsidized price, without this use of your data.

(3) Attending at the Community rate requires the consent described above; the regular ticket does not. For paid events, both ticket types are available. For free events, the Community rate is the only rate offered; attendance then requires the consent described above. By booking, you acquire the right to attend on the stated date.

A.1b Confirmation on the day of the event

For the Community rate, you confirm the data-use agreement already made at the time of booking during check-in on site. In addition, we may obtain separate consents on the day of the event for individual supplementary offers; photography and video recording take place without separate consent on the basis of our legitimate interest (see B.7).

A.2 Withdrawal and cancellation

(1) Our paid events are services related to leisure activities that are scheduled for a specific date. Under German Civil Code (BGB) Sec. 312g(2) no. 9, there is no statutory right of withdrawal for such contracts. As a consumer, you are expressly informed of this during the booking process.

(2) A return of tickets and refund of the ticket price is generally only possible if the event is cancelled or postponed. However, you may transfer your ticket to another person (up to twice since the original purchase). Event-specific cancellation deadlines are stated in the description of the respective event. Our General Terms and Conditions for event tickets apply in addition.

A.3 Account deletion and booked events

In addition to Sec. 8 of the central terms of use: deleting your account ends your access to protected content — events already booked but not yet held remain unaffected.

A.4 Code of conduct

A code of conduct applies at our events: We want to offer our attendees a harassment-free event experience, regardless of gender, sexual orientation, disability, appearance, body size, ethnicity or religion (or lack thereof). We do not tolerate any harassment of attendees. Sexualized language and imagery are not welcome at our events. This includes the venue, the talks, workshops and parties, as well as social media. Attendees who violate these rules must expect sanctions from the event staff, up to expulsion from the event — even without any claim to a refund of an admission fee that may apply. The rules for attending events in our General Terms and Conditions (Sec. 5) apply in addition.

Part B – Privacy for Events

B.0 Controller for events

Depending on which entity organizes the respective event, the controller for the data processing is Seibert Group GmbH, Seibert Solutions GmbH, or Seibert Products GmbH (all: Luisenstraße 37–39, 65185 Wiesbaden, Germany). The respective organizer is named in the description of the event; service providers and affiliated companies act on its behalf in this respect. For questions about data protection: datenschutz@seibert.group. Regardless of this, the contracting party for your ticket purchase always remains Seibert Group GmbH (see A.0).

B.1 Purposes of processing and legal basis

Event administration: registration, ticket sales, payment processing, admission, and follow-up.

Legal basis: performance of contracts (Art. 6(1)(b) GDPR) and compliance with a legal obligation (Art. 6(1)(c) GDPR).

B.2 Data processed

Registration information (including invoice information where applicable):

  • Company name
  • Name
  • Address
  • Postal code
  • City
  • Country
  • Ticket type
  • VAT identification number
  • Payment data
  • Internal reference (optional)
  • Recipient of the service (optional)

Information about the attendee:

  • Name
  • Company
  • Industry
  • Email address of the attendee
  • Job title
  • Address
  • Postal code
  • City
  • Country
  • LinkedIn profile (optional)
  • Acknowledgement of the photo conditions
  • Consent to being contacted by Kegon AG (optional)

Legal basis: Art. 6(1)(b) GDPR; Art. 6(1)(a) GDPR (optional data)

B.3 Further recipients / disclosure to third parties

Data you provide to us is generally not disclosed to third parties that are not affiliated companies of the Seibert Group.

For the content and organizational delivery of Tools4AITeams (T4AT), Kegon AG, as an affiliated company and processor, additionally receives access to the attendee data required to run the event. Kegon AG uses your data for its own purposes — such as contacting you itself — only if you have separately consented to this; in that respect, it is itself the controller. For its general role, see the central privacy notices.

In particular, your data is not disclosed to third parties for their own advertising purposes.

In addition, we use service providers as needed for the technical delivery of the event. Where these process personal data on our behalf, we have concluded the respective data processing agreement required under Art. 28 GDPR with them.

B.4 Retention period

Event-related data is stored for as long as necessary to run the event. We retain invoice data for the duration of the statutory retention periods.

B.5 Legal basis for marketing data use under the Community rate

Under the Community rate, linking your activity for marketing purposes is part of the rate you chose. Depending on the event, this means:

Paid events: The Community rate is discounted compared to the regular ticket. You receive the regular ticket at the full price and without this use of your data. This gives you an equivalent alternative. Consent is required for the Community rate, but not for the full-price ticket.

Free events: Here the Community rate is the only rate offered. Attendance therefore requires the data-use consent described in A.1(2). Booking requires a customer portal account; you can delete it at any time after the event.

For more information on data processing in connection with the Seibert Group customer portal, see our customer portal terms and privacy notice.

B.6 Ticket shop and payment processing

Tickets are purchased through our own application, Invite (invite.seibert.group), operated by Seibert Group GmbH. The event website links directly to the ticket shop; when you open it, technical connection data (IP address, browser information) is transmitted to invite.seibert.group.

Order, invoicing, and payment processing are handled by pretix (pretix Hosted, a provider based in Germany) as our processor. Currently, payment is made by advance payment/bank transfer to the account of Seibert Group GmbH.

B.7 Photos and video recordings

At our events, we create photo and video recordings of attendees for the purpose of reporting, promoting future events, and marketing by Seibert Group and companies affiliated with us. Legal basis: Art. 6(1)(f) GDPR. We inform you about this during the booking process and on site. Where we obtain separate consents in individual cases (see A.1b), the legal basis is consent (Art. 6(1)(a) GDPR).

You can object to the processing by us at any time, informally, via datenschutz@seibert.group. If you do not want to appear in our publications on social media (LinkedIn, Facebook, Instagram, YouTube, TikTok), additionally wear a color-coded lanyard on site: it serves as a marker for the photographers and videographers commissioned by us to filter you out of recordings and publications. This marker is directed exclusively at our own photo and video teams. Please note: many attendees at our events also take photos and videos themselves — we cannot guarantee that you will not appear in such third-party recordings.

Note on social media platforms: platform operators may, under their terms of use, use published content — including personal data — to train their AI models.

B.8 Usage data and devices

For virtual attendance, we may record which parts of the program (e.g. workshops, sessions) you attend. We use this within the scope of the data use agreed at the time of ticket purchase (see A.1 and B.5) to show you relevant content and further information, including by email; you can object to this at any time and unsubscribe via the link in our emails.

For attendance over the internet, we log the following on the basis of a balancing of interests (Art. 6(1)(f) GDPR): IP address (maximum 14 days), operating system, browser version, name of the file accessed, date and time, amount of data transferred, and the referring URL. This data generally cannot be linked to an individual; it also serves to fix errors.

For virtual attendance, we may also store or read information on your device where strictly necessary (Sec. 25(2) no. 2 TDDDG) — for example to display content correctly and for error detection.

B.9 Data processing outside the European Union

For data transfers to countries outside the EU, the information in the central privacy notices, section “Data processing outside the European Union”, applies.

B.10 Further information / changes to these privacy notices

Further information, in particular regarding your rights as a data subject and our data protection officer, can be found in the central privacy notices.

We revise these privacy notices when this website changes or when other circumstances make this necessary. The current version is always available on this page.
